Getting started
- Start your free trial from the signup page. You get a 14-day free trial with 100 credits and no card is required to begin.
- Add your company details and branding from Account settings.
- Invite team members from Users and Roles, and choose a role for each person.
- Create your first assessment or reference check and send it to a candidate.
- The sidebar groups tools into Hiring, Internal, Toolkit, and Account.
- Use the Toolkit section for content: Library to browse and send the assessments and surveys available to you, and Creators to build and manage your own assessments, surveys, and reference templates.
- Open the dashboard for an overview of recent activity and outstanding actions.
- Open the Help centre from the sidebar any time to return to these guides.
Assessments
- Open Library and pick a ready-made assessment from the Assessments tab, or build your own from Creators.
- Choose Send and enter the candidate name and email, or select an existing candidate.
- The candidate receives an email invitation with a secure link to their portal.
- Track progress on the candidate record and review the score and report once they finish. Sending an assessment uses credits.
- Go to Creators, select Create, then choose Assessment.
- Generate a role-specific assessment instantly, or build one manually from the question library.
- Review and edit the questions, scoring, and time limit.
- Save it, then send it to candidates like any other assessment. Instant generation uses credits.
- Open the candidate record to see the overall score and a per-question breakdown.
- Scores are colour coded so you can compare candidates at a glance.
- Request instant insights for a deeper read of strengths and gaps. Instant insights use credits.
- Download the branded PDF report to share internally.
- A candidate's answers save as they go, so progress is not lost if they step away and return to the same link.
- If a timed assessment runs out, the candidate can submit the answers they saved. That counts as a completed result, flagged as a partial submission.
- On the candidate record you see a Partial submission indicator alongside the score, so you know not every question was answered.
- An assessment that was never started and then timed out is marked incomplete rather than scored.
Candidates and roles
- Open Candidates and choose Add candidate to enter a name and email, or add several at once.
- Use the status filter dropdown to narrow the list: Unassigned, Active, Completed, Needs action, or Archived.
- Click any candidate to open their profile, see assessment progress, and review results.
- Archive a candidate from their profile when you are finished, to keep your active list clear.
- This page is your own hiring pipeline. A recruiter-submitted candidate appears here once attached to a role; a submission not yet attached to a role is reviewed from the Recruiters page instead.
- Open Roles and choose a multi-stage role to see its pipeline. Each stage is a step in your process, with a locked Final stage at the end.
- A candidate sits in one stage at a time. Their stage status shows whether they are active, completed, rejected, withdrawn, or on hold.
- Most stages have an assessment to complete. The candidate moves forward once the stage action is done, or you can move them manually. A stage with no action is a manual-review gate.
- From the pipeline view, run final-stage actions like a reference check, contract, or onboarding for a candidate, and use Fill role to hire them and close the role.
- Open Roles to see your own private pipeline. These roles belong to your agency and work the same way as a client's multi-stage pipeline, with a locked Final stage at the end.
- Open Collaborative Roles to see roles a client has invited you to work on. You can submit candidates here, but the role itself is owned and managed by the client.
- To submit a candidate to a client role, open the role and choose Submit candidate. The candidate lands in the client's locked Applicants stage for their review.
- Track a submitted candidate's progress from the role detail page as the client moves them through their pipeline.
- Open Candidates and choose Add candidate to add someone to your roster.
- Your roster is separate from any one client. Use it to track a candidate across every client and role you submit them to.
- Open a candidate to see their submission history, assessment and reference results, and documents.
- Submit a candidate to a client from their profile, or from a specific role's Submit candidate action.
- Open a candidate's profile or their pipeline row and choose Make an offer to record salary, start date, and other terms.
- For a recruiter-sourced candidate, the offer goes to the sourcing recruiter first. They relay it to the candidate and record the outcome on your behalf.
- For a candidate you added directly, you can send the offer to the candidate's email yourself.
- Every field stays editable while the offer is still pending. Once accepted or declined, the offer is locked.
- A fully signed contract linked to the offer automatically marks it accepted.
Recruiter collaboration
- Invite a recruiter agency by email from the Recruiters page. If they already have an Assessely account, your invite links straight to it. If not, add their agency name and contact details and we'll set a new account up for them.
- If the email you invite matches an agency already on Assessely under a different address, they'll be asked to confirm the match when they accept. This links the two safely and never creates a duplicate agency account.
- Open Recruiters to review agency connection requests and accept the ones you want to work with.
- Candidates an agency submits appear in the Submissions tab. Open a submission to review results, message the agency, and assign the candidate to a role or hold them for later.
- The Talent Pool tab shows speculative candidates an agency has put forward. Their identity stays hidden until you or the agency reveal it.
- Once a hire is made through an agency, it appears in the Placements tab with the guarantee period, scheduled check-ins, and any client feedback you have left.
- Open Clients to see every company you are connected to, and their connection status.
- Open a client to see the roles you are collaborating on with them and the candidates you have submitted.
- Invite a new client from the Clients page if a company you work with is not on Assessely yet.
- A client can accept, decline, or end the collaboration at any time from their side.
- Open Agreements to see the terms and rebate agreements you have in place with each client.
- Create a new agreement and send it to a client for digital signature.
- Track each agreement's status: pending, signed, or expired.
- You can still work with a client while an agreement is pending, but keep it up to date for your own records.
- A placement is created automatically once a candidate you submitted accepts an offer or a client fills a role with them.
- Open Placements to see each hire's guarantee period, scheduled check-ins, and any feedback the client has left.
- Check-ins are sent automatically to the candidate and client at set points during the guarantee period. You do not need to send these manually.
- If a placement falls through, it moves to the Fell Through tab along with the reason recorded.
- Every active or invited teammate takes one seat. Your plan includes one seat, and extra seats are $10 per month each, charged pro-rata.
- Open Team and use Invite teammate. If every seat is already taken and you are on a paid plan, the invite adds the seat for you in the same step.
- Admins can manage the team, billing and seats. Members can use the rest of the portal but cannot change any of those.
- Click any teammate to open their card: contact details, the clients, candidates, submissions and placements they have worked on, and their access level.
- Deactivating a teammate frees their seat straight away. If that leaves a paid seat empty, release it from the Team page to stop the monthly charge. You can buy it back any time.
- Open Directory Listing and fill in your agency profile, including your specialisms and the regions you cover.
- Publish your listing to make it visible in the public recruiter directory.
- Update your listing any time. Changes go live straight away.
- Turn visibility off from the same page if you want to be temporarily unlisted.
Interviews
- Open Interviews to see every interview scheduled for candidates you submitted, including proposals still awaiting a response.
- When a client proposes times, relay them to the candidate, book a time directly, or pick from the times the client offered.
- You can reschedule or cancel a proposal, add feedback notes, and share preparation materials with the candidate.
- The client is notified automatically whenever you confirm, reschedule, or cancel a time on their behalf.
- Click Schedule Interview to organise a screening interview directly with one of your own roster candidates, with no client involved. This is entirely between you and the candidate, never masks their identity, and costs 1 credit to your agency.
- Open Account, then the Calendar tab, and turn on Interview scheduling availability.
- Set your working hours for each day of the week. Only times inside these hours are offered to candidates and clients.
- Choose a notice period (how much advance warning you need) and a buffer (gap between back-to-back interviews).
- Set a default response deadline, how long a proposed time stays open before it is treated as expired.
- Leave this off if you would rather manually pick every time yourself. The day-strip picker falls back to a standard Monday-to-Friday, 9-to-5 window with no notice or buffer.
Reference checks
- Open Compliance, switch to the References tab, and choose to send a new reference check.
- Select one or more reference templates and set how many references are required.
- Enter the candidate details. The candidate is invited to nominate their referees.
- Referees complete the questions by email. Automated reminders keep things moving. Each required reference uses credits.
- Every reference response is analysed automatically for inconsistencies and signs of fabrication.
- Each reference receives a confidence score with specific concerns highlighted.
- Review flagged references on the reference check record before relying on them.
- Download the combined report for your records once the check is complete.
- Go to Creators, select Create, then choose Reference.
- Pick how to start: from an existing template, instantly, or build it manually.
- Add your questions and choose a type for each, such as open text, rating scale, or yes or no.
- Give the template a name and save it. It is then available to select when you send a reference check.
- Open Compliance, switch to the References tab, and start a new reference check, then select two or more templates to include.
- Set how many references are required. The candidate nominates that many referees.
- Each referee receives one request covering the combined questions from the templates you chose.
- Track progress as referees respond. You can review the references that are in even if only some have finished. Each required reference uses credits.
Surveys and eNPS
- Open Library and use a ready-made survey from the Surveys tab, or build your own from Creators.
- Open the survey and choose Send to team, then pick the team or recipients.
- Choose whether responses are anonymous. Anonymous responses encourage honest feedback.
- Send the survey. Sending uses credits. Review results and themes as responses arrive.
- Open Feedback and choose Create wave. eNPS is available to admins.
- Name the wave and set the period start, period end, and response deadline.
- Choose the teams or people to include. Responses are anonymous.
- Send the wave. Each wave uses 10 credits. Watch your score develop as people respond.
Exit interviews
- Open Feedback and start an exit interview for a departing team member.
- The interview is completed digitally by the employee.
- Themes surface automatically across responses so patterns are easy to spot.
- Review individual responses and the aggregated insights from the same dashboard.
Compliance
- Open Compliance, switch to the Document Checks tab, and start a compliance check for a candidate.
- Request the documents you need, such as licences or working rights.
- The candidate uploads documents securely through their portal.
- Review and verify each document. Document verification uses credits.
- Open Account settings and switch to the Settings tab.
- Turn on AI Document Verification.
- Once on, every compliance document a candidate uploads is checked automatically.
- Verification uses 1 credit per document. Turn it off any time to go back to manual review.
Contracts and onboarding
- Open Compliance, switch to the Contracts tab, and choose to send a contract.
- Select the candidate and the contract to send. Sending a contract uses credits.
- The candidate reviews and signs digitally from their portal.
- The signed contract is stored securely and the creator is notified on completion.
- Open Compliance and switch to the Onboarding tab.
- Send the documents the new starter needs to complete or sign.
- Track completion from the same view as documents come back.
- Combine with compliance checks and a contract for a complete onboarding pack.
Analytics and dashboard
- Open the dashboard to see key numbers: pending reviews, overdue items, credits remaining, and invitations awaiting a response.
- The Needs Attention list shows outstanding tasks in priority order. Click any item to jump straight to it.
- Use Quick Actions to start common tasks like adding a candidate, sending assessments, or requesting references.
- Click any number to open that section in full.
- Open Analytics to see headline numbers: credits used this month, total assessments, active users, and your current plan.
- Expand each section to see monthly trends, feature usage, and assessment distribution.
- Check the conversion funnels to see how candidates move from invited to started to complete for assessments, references, and surveys.
- Review your top performing assessments to see which are completed most and their average scores.
Billing and credits
- Your 14-day free trial starts with 100 credits, and both plans then include 100 credits per month. Credits are used for actions like sending assessments, running reference checks, and generating instant insights.
- Your remaining balance is shown on the Billing page.
- Buy more credits any time at one dollar per credit.
- Unused base credits do not roll over indefinitely. Check the Billing page for your current balance and usage.
- Open Billing to see your current plan and usage.
- Upgrade or downgrade between Basic and Premium. Changes take effect at your next billing cycle. Downgrading to Basic removes instant generation, reference checks, surveys, eNPS, exit interviews, compliance, contracts, onboarding, and advanced analytics. Your data is kept, so you can upgrade again at any time to restore access.
- Add seats for extra team members at ten dollars per seat per month.
- On a trial, choose Start plan now to activate your paid plan immediately.
- Recruiter agency plans are structured differently to employer plans. Open Billing to see your current tier, seat allocation, and credit balance.
- Seats are tied to your tier. Invite teammates from the Team page. An invited-but-not-yet-accepted teammate still occupies a seat.
- Credits are used the same way as the employer portal: sending assessments, running reference checks, and instant generation on your creator tools.
- Upgrade or change your tier from the Billing page. Once on a paid plan, manage your payment method and invoices from the same page.
Team management
- Open Users and Roles and choose to invite a user.
- Assign a role. Admins have full access, and custom roles let you control exactly what each person can see and do.
- Create custom roles to control exactly what each person can see and do.
- Invited users receive an email to set their password and join your account.
- Open Teams and create a team for a department or group.
- Add members to the team.
- Send team assessments to track competencies and identify training gaps.
- Monitor completion and skill development across the team.
Account and security
- Open Account settings and find the security section.
- Choose an authenticator app, email one-time codes, or both.
- Save your backup codes somewhere safe in case you lose your device.
- Accounts lock after five failed login attempts and sessions expire after 24 hours.
- When you set up multi-factor authentication, save the backup codes you are given somewhere safe. Each code works once.
- If you lose your authenticator app or device, choose to use a backup code on the verification screen and enter one of your saved codes.
- If you also turned on email one-time codes, request a code to your email address as another way to verify.
- If you cannot use any of these, email hello@assessely.com from your account email and we will help you recover access.
- Open the login page and choose Forgot your password.
- Enter your account email. If an account exists, a reset link is sent to that address.
- Open the link and set a new password. Passwords need at least ten characters with upper and lower case, a number, and a special character.
- Setting a new password signs out all active sessions, so sign in again. If you are already signed in, you can change your password from Account settings instead.
- Open Account settings to update your company name and contact details.
- Add your logo and branding so candidate-facing pages match your brand.
- Change your password from the same screen. Password changes sign out all active sessions.
- Request a copy of your data or account deletion by emailing hello@assessely.com.
- Open Account settings and switch to the Settings tab.
- Toggle general account updates, assessment reminders, and marketing emails on or off individually.
- Changes save immediately, no need to confirm separately.
- These preferences are personal to you, not company-wide.
- Open Account and switch to the Settings tab.
- Toggle new submission alerts, candidate updates, and marketing emails on or off individually.

Integrations
- Open Account settings and switch to the Calendar Sync tab.
- Connect Outlook or Google, whichever you use, and authorise the connection.
- Interviews you schedule from then on automatically appear on that calendar.
- This is separate from Cloud Storage, which is for exporting company documents rather than syncing your calendar.
- Open Account settings and find Integrations.
- Choose your provider and authorise the connection.
- Once connected, export documents to your chosen storage.
- Disconnect any time from the same screen.
- Assessely offers a partner API and an AI assistant integration for connecting your applicant tracking system or internal tools.
- Access is granted per partner rather than self-serve.
- See the Developers page for what the API can do and the endpoints available.
- To request access, email hello@assessely.com and tell us what you would like to build.
- Open Developers and switch to the Webhooks tab, then choose Add webhook.
- Enter the endpoint URL you want events delivered to and choose which event types to subscribe to.
- Save the signing secret shown when you create the webhook. Use it to verify that incoming payloads genuinely came from Assessely.
- A failed delivery is retried automatically with backoff. Pause, resume, or delete a webhook any time from the same tab.
Getting help
- Open Help centre from the sidebar and choose Raise a ticket.
- Enter a subject, choose a category and priority, and describe what you need.
- Attach screenshots or files if they help explain the issue. You can add up to five files.
- Submit the request. Track its status under My tickets in the same Help centre panel.
For candidates
- Open the secure link in your invitation email to reach your candidate portal.
- The first time you sign in, set a password. After that you can sign in from the candidate login page any time.
- Your dashboard shows everything assigned to you: assessments, documents, and reference checks, with the most urgent first.
- Use the sidebar to move between My Assessments, Documents, Reference Checks, and your Account.
- From your dashboard or My Assessments, open the assessment and read the instructions, including the number of questions and any time limit.
- Choose Start Assessment. If there is a time limit, a timer is shown at the top.
- Answer each question. Your answers save as you go and you can move back and forth between questions.
- On the last question, review your answers, then choose Submit Assessment. Once submitted, your responses go to the hiring team.
- Open Reference Checks and choose Provide references on the check that needs your input.
- Enter each referee name and email, and your working relationship with them.
- Add the period you worked together. You can include extra details like phone number and company if you have them.
- Tick the consent box and choose Submit. Your referees are contacted directly and you can track their progress from the same page.
- If you already have a completed reference from a previous employer, the "···" menu next to Provide references offers faster options instead: Share my completed references sends it straight through with no action needed from your referees; Reuse my references asks the same referees for a fresh reference; Provide new references starts from scratch.
- Open Documents and go to the Contracts tab, or open the contract from your dashboard.
- Read the contract. Use the preview to see the full document.
- Choose Sign document. Tap a signature box, then draw your signature or type your name. The date and your initials are filled in for you.
- Submit your signed contract. It is stored securely and the employer is notified.
- Open Documents and go to the Onboarding tab.
- Open each document. Some need a signature and some only need you to acknowledge that you have read them.
- Choose Sign document to sign, or Acknowledge document to confirm you have read it.
- Track what is left from the same tab. Completed documents are marked as done.
- Open Documents and go to the Compliance tab to see what has been requested.
- Choose Upload document on each item.
- Select a PDF, JPG, or PNG file up to 10 MB. A progress bar shows the upload.
- Once uploaded, the document is marked as complete and sent to the employer to review.
- Sign in using the link in your invitation email, or from the candidate login page with your email and password.
- Forgot your password? Choose Forgot your password on the login page to reset it.
- Open Account to update your name, change your password, or turn on multi-factor authentication for extra security.
- If you have a question about a specific task, contact the employer who invited you.
- Open Documents and go to the Vault tab to see everything you have stored.
- When a company or recruiter requests a document, approve or decline the request from the same tab.
- Turn on auto-approve in Account settings to skip the wait when you have exactly one matching document. If you have two or more, or none yet, you will always be asked to choose.
- You control every release. Nothing is shared without your approval unless you have opted in to auto-approve.
- Open Account and switch to the Talent Pool tab.
- Turn on discoverability. Your profile becomes visible to other companies searching Assessely, even ones that have not assessed you directly.
- Your name, email, phone, resume, and any profile links stay hidden. Companies only see a general skill area, a broad score range, and the region you enter.
- A company can request to see your real identity. You approve or decline each request, and can turn discoverability off at any time to stop appearing in future searches.
- Open Account and switch to the Settings tab.
- Toggle assessment reminders, interview updates, and document request alerts on or off individually.
- Changes save immediately, no need to confirm separately.
- Turning these off does not stop the employer from seeing your progress in their own portal.
- Open Interviews to see everything split into Upcoming and Past.
- When a company proposes several times, choose Pick a time and select the one that suits you. If none of them work, you can request different times instead.
- For an older-style single proposed time, choose Confirm to accept it or Decline if you cannot make it.
- Preparation notes and any documents the company has shared appear on the interview itself, along with the format (online, in person, or phone) and where to join or attend.
- If you do not respond before the reply-by deadline, the proposed times lapse and the interview shows as Expired. The company or agency is automatically notified and will propose new times for you.
- Open Messages to see every conversation with a company or recruitment agency you have been in contact with, split by Companies and Agencies.
- Select a conversation to read it and reply from the same screen.
- New messages appear with an unread marker in the thread list.
- Messaging is only available once a company or recruiter has actually engaged with you, for example by sending an assessment or reference request.
- For questions about a specific assessment, document, or reference, contact the employer who invited you. They can resend an invitation or update your task.
- Your invitation email comes from the employer, so you can reply to it or use the contact details they gave you.
- If you cannot sign in or set your password, request a fresh link from the login or set password page.
